Privacy Policy

Matter Studio Limited, trading as Matter Studio (“Matter”, “we”, “us”), is an AI-powered commercial photography studio based at 202 Jervois Road, Herne Bay, Auckland 1011, New Zealand (NZBN 9429051593414). This policy explains what personal information we collect through matterstudio.ai and in the course of our work, how we use it, and your rights under the New Zealand Privacy Act 2020.
What we collect
Enquiries and bookings. When you email us, submit a form, or book a call through our scheduling link, we collect your name, email address, company, phone number if you provide it, and the details of your enquiry.
Newsletter. If you sign up to our newsletter we collect your name and email address. The sign-up is processed by Flodesk, our email service provider.
Client project information. When you work with us we hold the brand assets, briefs, product imagery, reference material and contact details needed to deliver the project. These are held under the terms of our engagement with you and are not used for any other purpose.
Website analytics. We use Google Analytics 4 to understand how visitors use the site: pages viewed, referring site, approximate location, device and browser type, and how long people stay. Google Analytics sets cookies and processes this data on Google servers, including in the United States; IP addresses are not stored. We do not use advertising cookies or sell browsing data. You can opt out of Google Analytics across all websites with the Google Analytics opt-out browser add-on, or by blocking cookies in your browser.
How we use it
We use personal information to respond to enquiries, scope and deliver projects, invoice for our work, send the newsletter you asked for, and improve the website. We do not sell personal information and we do not use it for automated decision-making.
AI tools and your material
Producing imagery involves AI systems. We do not upload a client’s personal information, nor the personal information of people appearing in client material, to third-party AI tools except as required to deliver the agreed project, and we do not use client material to train models of our own. If a project involves images of identifiable people, we will agree with you in advance how that material is handled.
Who we share it with
We share personal information only with service providers who need it to run our business: website hosting and content delivery (Webflow, Cloudflare), analytics (Google Analytics), email and newsletter (Google Workspace, Flodesk), scheduling (Google Calendar), accounting and invoicing, and cloud storage. Some of these providers store data outside New Zealand, including in Australia, the United States and the European Union. We take reasonable steps to ensure they protect your information to a standard comparable to the Privacy Act 2020.
How long we keep it
We keep enquiry and project records for as long as we have a working relationship with you and for up to seven years afterwards to meet tax and legal obligations. Newsletter details are kept until you unsubscribe. Analytics data is retained in aggregate form.
Your rights
You can ask us at any time to see the personal information we hold about you, to correct it, or to delete it where we have no legal reason to keep it. You can unsubscribe from the newsletter using the link in any email. To make a request, email heath@matterstudio.ai. We will respond within 20 working days as required by the Privacy Act.
If you are not satisfied with how we handle your information you can complain to the Office of the Privacy Commissioner at privacy.org.nz.
Security
We protect personal information with access controls, encrypted storage and transfer, and limited staff and contractor access on a need-to-know basis. No system is completely secure; if a breach occurs that is likely to cause serious harm we will notify you and the Privacy Commissioner as the Act requires.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed. Continued use of the site after a change means you accept the updated policy.
